Users and access

Add users, set their roles, give them access to properties as owner, supervisor or CA, and deactivate, merge or remove accounts safely.

Overview

Who can see what in Property360 depends on two things: a user's role, and the property access they have been given.

  • Users (under Administration) lists every account. Here you add users, edit them, activate or deactivate them, and open their profiles.
  • Access Assignments shows each property with its Owners (with ownership %), Supervisors and CA / CPA, and lets you grant or revoke access.

Tenants get access to their unit automatically through their lease. You never assign it by hand.

Before you start

  • Only a master admin can open Users and Access Assignments.
  • Decide each person's role: Landlord, Tenant, Supervisor / Property Manager, CA / CPA or Admin.

Steps

Add a user

  1. Open Administration → Users and click Add User.
  2. Enter Full Name, Email and Phone, and choose a Role.
  3. Optionally set a Temp Password. Otherwise the person can sign in with Google using the same email.
  4. Save. If someone with a similar name, email or phone already exists, you'll be offered the existing user instead, so you don't create a duplicate.
Tip:Add a phone number. The Telegram and WhatsApp assistant recognises staff by the phone number on their profile.

Give access to a property

  1. In Users, open the row's ⋮ menu and choose Assign Properties, or open Administration → Access Assignments and use the property's action.
  2. Pick the Property (or the User) and the Access Level: Owner / Landlord, Supervisor / Manager or CA / CPA.
  3. For an owner, enter the Ownership %.
  4. Click Grant Access.
  5. To remove one person's access to one property, revoke it in Access Assignments.

Review, deactivate or remove

  1. Click View Profile to see the user's Property Access, Assigned Floors & Units, Recent Activity, Login History and a Summary.
  2. Choose Deactivate to block sign-in but keep all their history. You can Activate them again later.
  3. Reset Access removes every property assignment the user has: owner, supervisor and CA.
  4. Delete User is only allowed for accounts with no lease or financial history. Deactivate the others.
  5. Tick two or more rows and choose Merge … into one… to combine duplicate accounts. Everything linked to them moves to the account you choose as primary. Type MERGE to confirm.

Example

Lakeview Plaza is owned 50:50 by A. Sharma and R. Iyer. The master admin grants each of them Owner / Landlord access at 50%. He then adds a site manager as Supervisor / Property Manager, with Supervisor / Manager access to Lakeview Plaza only, and adds the owners' CA with CA / CPA access. In Access Assignments, Lakeview Plaza now lists two owners (50% each), one supervisor and one CA.

FAQs

Can a landlord manage their own users?

No. Users and Access Assignments are for the master admin only.

Can I change someone's email?

No. The email can't be edited after the account is created. Create a new user and, if needed, merge the two accounts.

Is every change recorded?

Yes. User creation, role changes, activation, deactivation, access resets and property assignments are all recorded in History & Audit → Activity & Audit Trail.

Troubleshooting

"Skipped — they have lease/financial history"

These accounts can't be deleted. Use Deactivate instead.

A landlord can't see a property

Check Access Assignments. The landlord must be listed as an owner of that property. An owner whose exit date has passed no longer has access.

Ownership shares don't add up to 100%

Grant Owner / Landlord access again with the corrected Ownership %. This updates the existing share. Invoices and rent statements split amounts by these percentages.
