Roles and what each can do

Understand the five Property360 roles, what each one sees, and how a master admin assigns people to properties.

Overview

Every person in Property360 has one role. Your role decides which menus you see and what you can change. Your property assignments decide which properties' data you can see. Together they keep each person's view limited to what they need.

The roles

RoleWho it is forWhat they typically do
Admin (master admin)The account ownerSees every property and landlord. Manages users, roles, access and system settings.
LandlordProperty ownersManages their own properties, tenants, leases, rent, GST invoices, documents and reports.
Supervisor / Property ManagerOn-site managersWorks on assigned properties: views their floors and units, and handles maintenance, documents and tasks.
CA / CPAThe landlord's chartered accountantSees the GST pages (Dashboard, Invoices, Payments, Returns, Reconciliation) and Tasks for the landlords they work for. Lands on GST Invoices.
TenantPeople renting a unitSees their own lease, invoices and rent, and can raise maintenance requests.
Note:A landlord can also see data of related landlords (for example a spouse or HUF) where that relationship has been recorded.

Before you start

The Roles & Permissions and Access Assignments pages are for master admins only. Anyone else who opens them sees "You don't have permission to access this area."

Steps

Review a role's permissions and landing page

  1. In the sidebar, open Administration → Roles & Permissions.
  2. Choose a role on the left.
  3. Review its permissions, which are grouped by module: Properties, Tenants & Leases, Finance, Operations and Administration. Tick or untick them as needed, then click Save.
  4. Under Landing page after sign-in, choose where people with this role land when they sign in (for example Dashboard, Invoices or Properties). The change saves right away.

Give someone access to a property

  1. Open Administration → Access Assignments. Each property shows its Owners, Supervisors and CA / CPA.
  2. Use Search properties... or the City filter to find the property, then click Assign.
  3. In Assign Access, choose the User and an Access Level: Owner / Landlord, Supervisor / Manager or CA / CPA.
  4. For an owner, enter the Ownership %.
  5. Click Grant Access.

To remove someone, click the remove control next to their name on the property row.

Tip:You don't need to assign tenants here. A tenant gets access to their unit automatically through their lease.

Example

Lakeview Plaza is owned by A. Sharma and R. Iyer. A master admin assigns a site manager as Supervisor / Manager on Lakeview Plaza only. The manager can now see its floors and units and log maintenance there but can't see Sunrise Towers. The landlords' CA is assigned as CA / CPA so the CA can review their GST invoices.

FAQs

How do I change someone's role?

A master admin edits the user in Administration → Users and picks a new Role. See Users and access.

Which role does a new sign-up get?

People who sign up themselves become Landlord. Someone whose email is already recorded as a landlord's CA email gets CA / CPA when they first sign in with Google.

Can a CA change invoices?

No. A CA can view and download GST records. Only the invoice's own landlord or a master admin can edit or delete an invoice.

Troubleshooting

A supervisor can't see a property

Check Access Assignments and make sure the supervisor is listed under Supervisors for that property.

Granting owner access fails

Total ownership on a property can't go above 100%. Lower another owner's share first. See Ownership and co-owners.
