Landlord profiles

Keep each landlord's contacts, CA, PAN, GSTIN, bank payout accounts and KYC documents up to date in Landlord Info.

Updated 16 Oct 2026

Overview

Every landlord has one profile in Landlord Info (under Master Data). It holds the details Property360 uses on GST invoices, in TDS records and for rent payouts: name and contacts, the landlord's CA or accountant, PAN, GSTIN, Aadhaar, address, bank accounts and personal KYC documents.

The list shows each landlord with phone, PAN, Aadhaar, GSTIN and bank payout. The Profile column has four quick checks (PAN, GST, KYC, Bank) that turn green when that detail is on file.

Before you start

  • Only a master admin can add a new landlord (Add Landlord).
  • A landlord can open and edit their own profile. They can also see the profiles of landlords linked to them as family or business partners, but they cannot edit those profiles.
  • Keep the landlord's PAN, GSTIN and at least one bank account to hand.

Steps

  1. Open Master Data → Landlord Info.
  2. Click Add Landlord, or click the pencil icon on an existing row to open Edit Landlord.
  3. On the Profile tab, fill in Landlord Identity: First Name, Last Name, and the Primary contact details and Secondary contact details (Email and Mobile for each).
  4. In CA / Accountant, enter the CA Name and their primary and secondary email and mobile. The CA is copied on this landlord's GST invoice emails.
  5. Check the Generate GST invoices for this landlord switch. Leave it ON for normal billing. Turn it OFF only if this landlord bills their share through another system.
  6. On Address & Tax, enter the Residential Address, PAN #, GSTIN and Aadhaar.
  7. On Banking, click Add bank account for each account, then fill in Bank Name, Account Number, IFSC Code, Branch and Account Type. Select Set as primary on the account that rent payouts and invoices should use.
  8. Click Add Landlord (for a new profile) or Save Changes.
  9. To file KYC papers, reopen the profile and go to the Documents tab. Choose a file (PDF or image), check the Document Type, number and dates, then click Upload Document.
Tip:When you choose a document file, AI reads the document number and the issue and expiry dates, and fills them in for you to review before you upload.
Note:Before a new landlord is created, Property360 checks whether the email, PAN, Aadhaar, GSTIN, phone or name matches someone who already exists. If it finds a match, you can open the existing profile instead or create a new one anyway.

Example

A master admin adds A. Sharma, who co-owns Sunrise Towers. She enters A. Sharma's primary email and mobile, the CA's email, a PAN, and a GSTIN in the format 22AAAAA0000A1Z5. She then adds two bank accounts and marks the savings account as Primary. On the list, A. Sharma's PAN, GST and Bank checks turn green. KYC turns green once an Aadhaar number is saved.

FAQs

Who receives GST invoice emails for a landlord?

The landlord's primary and secondary emails and the CA's primary and secondary emails are all copied on invoice emails.

What does turning GST invoicing off do?

Property360 stops generating invoices for this landlord's share. Co-owners of the same property are still billed as normal, and existing invoices are not changed. You can turn it back on at any time.

Can a landlord have more than one bank account?

Yes. Add as many as you need. Exactly one is the primary account.

Where do the Documents and Relationships tabs come from?

They appear only when you edit a profile that has already been saved. Relationships is shown to master admins only.

Troubleshooting

I can't see the Add Landlord button

Only master admins can add landlords. Ask your master admin to create the profile.

The pencil icon is missing on another landlord's row

Landlords can edit only their own profile. A related landlord's profile is read-only for you.

The AI didn't fill in the document fields

That step is best-effort. Type the number and dates yourself, then click Upload Document.
