Taxpayer profiles and HUFs
Keep each taxpayer (an individual landlord, a family member such as a parent or spouse whose tax you manage, or an HUF) as its own profile with its own PAN, and name it as the rent recipient on specific units or leases without changing ownership.
Overview
A taxpayer profile is one assessee with its own PAN. Property360 keeps three kinds:
- An Individual profile for every landlord account. It is created for you from the landlord's name, PAN and date of birth in Landlord Info, and stays in step with them — correct the PAN on the landlord and the profile follows at once; the date of birth can be changed on either side and the other follows.
- A Family member — a parent, spouse, son, daughter or sibling with their own PAN and no Property360 login, whose income tax a landlord looks after. It is an Individual profile managed by that landlord, with the relationship recorded (Individual · Father of Arjun Kumar). See Family members (parents, spouse) under Steps.
- An HUF (Hindu Undivided Family) or Other assessee (a trust or a firm) that a landlord — the karta — manages.
Why it matters: a property is often owned by a person, but the rent of some of its units is received and reported by the family's HUF under the HUF's PAN. Property360 records this as a rent recipient on the unit or the lease. Nothing else changes: the property's ownership shares stay as they are, the lease is still between the same tenant and the same owners, invoices and rent collection carry on as before. Only the income-tax attribution — whose PAN the rent is reported under — follows the profile you chose.
Income-tax records, consent and portal retrieval are kept per profile (per PAN), so an HUF's returns never mix with the karta's. Every Income Tax page opens with a Taxpayer picker — your individual profile first, each profile with its type badge and masked PAN — and the dashboard, Connect & Fetch, Filings & Records, Income & Tax Reconciliation, the Excel export and the Telegram / WhatsApp assistant all work on one profile at a time (or several side by side, never added together).
Before you start
- Open Master Data → Landlord Info (landlords and master admins both have it) and switch to Taxpayer profiles. The Income Tax Dashboard also has a Taxpayer profiles → button that lands here.
- Have the HUF's PAN card to hand. An HUF's PAN has H as its fourth character (for example ABCHI1234F); the karta's own PAN has P. A family member's PAN has P too — it must be their PAN, not yours.
- A landlord manages their own profiles. A master admin can add a profile under any landlord. A CA can see them but cannot add or change them.
Steps
Add an HUF
- In Landlord Info → Taxpayer profiles, click Add HUF.
- Choose the Type (HUF, or Other for a trust or firm). A master admin also picks Managed by, the landlord who acts as karta.
- Enter the Legal name exactly as on the PAN card (for example Meera Iyer HUF).
- Enter the PAN. The hint under the field tells you what kind of holder the PAN reads as. If an HUF's PAN does not have H as its fourth letter, you see a warning and the PAN is saved as typed — check it is the HUF's PAN and not the karta's.
- Add the Date of formation and any Notes (deed date, members, the bank account used), then click Add profile.
Family members (parents, spouse)
What it is. Many landlords look after a parent's or spouse's income tax: the parent owns a share of a property, or receives the rent of a few units, files their own return under their own PAN, and relies on the family to deal with the portal. A family-member profile keeps that person as a separate taxpayer inside your workspace — their PAN, their returns, their findings — without giving them a login and without ever mixing their figures with yours. It behaves exactly like an HUF profile; only the relationship is different.
Who can see it. The same circle rule as an HUF: the landlord who manages the profile (you), every landlord related to you in Landlord Info (your circle, read-only), the CA you have named, and a master admin. Tenants and supervisors never see it. Only you (or a master admin) can give its consent, use its e-Filing password, change it, or erase it.
Add one.
- In Landlord Info → Taxpayer profiles, click Add family member (beside Add HUF).
- Choose the Relationship — father, mother, spouse, son, daughter, sibling or other. A master admin also picks Managed by, the landlord who looks after this person's tax; a landlord is always the manager of the profiles they add.
- Enter their Full name as on their PAN card, their PAN (fourth letter P; a different letter is a warning, saved as typed) and their Date of birth (it opens password-protected AIS files later).
- Optionally tick the Linked bank accounts that receive their rent, add Notes, and click Add family member. The profile appears with the type line Individual · Father of Arjun Kumar, counted on the Family members tile, and the Type filter offers Family member.
Fetch their returns. On Connect & Fetch, pick them in the Taxpayer picker (Ramesh Kumar · Individual · father of Arjun Kumar · PAN ABCPK••••K; the page shows Managed by Arjun Kumar, father). Read the consent — it names the family member and asks you to confirm they have asked you to manage their records — and tick it. Then either send the Aadhaar OTP, which goes to the mobile registered for their Aadhaar, or use Use e-Filing password instead with their e-Filing password. Both are entered by you, on their behalf, with their consent; Property360 never stores the password and never uses your own PAN for their profile. A CA can start an OTP fetch for them but can never use the password route. Disconnect & erase removes that person's fetched data only.
Upload and reconcile. On Filings & Records, pick them and upload their ITR JSON, AIS, Form 26AS or 143(1) intimation, or enter the CA summary; a file whose PAN is yours is refused and must go under your own profile. Income Tax Dashboard and Income & Tax Reconciliation show their rows beside the Property360 rent attributed to them, with findings kept per profile. Tick your profile as well to see the two side by side — never summed, because each PAN files its own return.
Rent received by. Name the family member as Rent received by / tax reported by on a unit (unit default) or a lease, or link their bank account on the profile, exactly as for an HUF (next sections). Only profiles managed by one of the property's owners or by a related landlord can be chosen. Ownership and the lease parties do not change.
Assistant. Ask the Telegram / WhatsApp assistant for "my father's income tax for FY 2025-26", "show my mother's tax records", "rental income by unit attributed to my father". "My parents" with both parents on file is answered with a numbered choice — reply 1 or 2.
Link the HUF's bank account to the profile (set it once)
Most HUFs receive their rent into their own bank account. Link that account to the profile once, and every lease that deposits into it is attributed to the HUF — you never choose the HUF again on each lease.
- Open Edit Landlord → Banking. Each bank account has a Taxpayer profile selector; Individual (self) is the default.
- On the HUF's account, choose the HUF profile and save the landlord. The link is kept by account number, so it survives edits to the account's other details.
- Or do it from the profile: Taxpayer profiles → Edit the HUF and tick its accounts under Linked bank accounts.
An account can belong to one profile per landlord; linking it to another profile moves it. Co-owners each link their own accounts.
From then on, on a lease's Rent & Deposit tab, picking a linked account under Rent Deposit Accounts is enough: the Tax & Escalation tab shows Rent received by as Follows the deposit account — Meera Iyer HUF (HDFC ••••2518) with nothing to set. The other way round works too: choosing the HUF on Tax & Escalation pre-selects its only linked account for an owner who has not chosen one yet (you are told, and can change it on Rent & Deposit).
Name the HUF as the rent recipient directly
When the account does not decide it, pick the level that matches the arrangement:
- Unit default — open the property, edit the unit, and under Rent received by / tax reported by (unit default) choose the HUF. Every lease on that unit follows it unless the lease says otherwise.
- One lease — open Lease Dashboard → Edit Tenant & Lease → Lease Info → Tax & Escalation and set Rent received by / tax reported by on the lease. This overrides everything else for that lease only.
- Leave the field blank for the usual case: the rent follows the deposit account, else the unit default, else each owner's individual profile at their ownership share.
Only profiles managed by one of the property's owners, or by a landlord related to an owner, can be chosen. Any other profile is refused with a message that says why.
How Property360 decides who reports a lease's rent
In this order, and the first that applies wins:
- Rent received by set on the lease — that profile reports all of the lease's rent.
- The deposit account — for each owner, if the account chosen for them under Rent Deposit Accounts (the one in force that month; account history is respected) is linked to a profile, that profile reports the owner's share. Owners whose account is not linked carry on to the next rule for their share.
- The unit default.
- Property ownership — each owner's individual profile at their share.
If a lease names one profile while its deposit account is linked to another, both tabs show an amber note (Rent deposits go to the HUF account but this lease is attributed to Meera Iyer) and Income & Tax Reconciliation raises a low-severity finding. Your explicit choice is never changed for you — clear it to follow the account, or pick another account.
Fetch, import and read the HUF's income tax
- Connect & Fetch: pick the HUF in the Taxpayer picker, give consent as its karta, and send the Aadhaar OTP — it is requested for the HUF's PAN, and the returns, AIS and findings come back under the HUF's profile. The e-Filing password route is open to the karta and a master admin only, never to a CA. Disconnect & erase on the HUF removes the HUF's fetched data only.
- Filings & Records: pick the HUF, then upload its ITR JSON / AIS or enter the CA summary. A file whose PAN is the karta's is refused — upload it under the karta's individual profile instead.
- Dashboard and Income & Tax Reconciliation: the HUF's rows show its own returns beside the Property360 rent attributed to it — the units and leases that name it as rent recipient — with findings kept per profile. Tick the karta's profile as well to see the two side by side; their figures are never summed.
- Assistant (Telegram / WhatsApp): "the HUF's income tax for FY 2025-26", "Show all HUF tax records available", "Show rental income by property and unit attributed to this HUF", "Compare the individual's and the HUF's records", "the HUF's annual tax report for AY 2025-26". A plain "my income tax" when you have both profiles is answered with "your individual PAN or the HUF?" — reply 1 or 2.
- Reports: the Annual tax report… action in a profile's row menu opens Income & Tax Reports on that profile — the full annual report as PDF or Excel, with every figure's source and the rent attributed to the profile unit by unit. To put the karta, the HUF and a family member side by side use the Compare tab, and for one report with individual summaries beside clearly labelled combined figures use Consolidated / household — each PAN stays its own taxpayer and tax liabilities are never added. See Consolidated household reports; to hand a report to a CA or lender through an expiring, masked link see Secure sharing.
Edit, deactivate or delete a profile
- Edit changes the PAN, date and notes. A PAN change is written to the audit log.
- Deactivate hides a profile from the pickers. If it still receives rent on a unit or an active lease, Property360 tells you and asks you to confirm.
- Delete is possible only when nothing refers to the profile — no unit, lease, tax record or document. Otherwise deactivate it.
- An individual profile that mirrors a landlord account takes its name and PAN from Landlord Info; change them there. Its Date of birth is one date shared with the landlord profile (and the Connect & Fetch consent): edit it on the profile, in Landlord Info → Address & Tax or on My Profile, and every place shows the new date. An HUF's or a family member's date is its own.
- A family member's Relationship can be changed on Edit (it is tracked in Field History) but never removed; the same deactivate and delete rules apply as for an HUF.
Example
Meera Iyer owns Palm Towers (100%). Its three shops are let to three tenants. Shops A and B belong, for tax purposes, to Meera Iyer HUF; shop C is Meera's own.
Meera adds the HUF profile with its PAN and, under Edit Landlord → Banking, marks her HDFC account ending 2518 — the one the HUF's rent is paid into — with the taxpayer profile Meera Iyer HUF. On the leases of shops A and B the Rent Deposit Account is that HDFC account, so Rent received by reads Follows the deposit account — Meera Iyer HUF (HDFC ••••2518) and needs no setting. Shop C's lease deposits into her own SBI account and stays with Meera. (Without a linked account she could instead set the HUF as the unit default on shops A and B.) The rent of A and B is now attributed to the HUF's PAN and the rent of C to Meera's PAN. Ownership still reads Meera Iyer 100%, the three leases are unchanged, and each rupee of rent is counted exactly once. On the Income Tax Dashboard the HUF's row shows the rent and TDS of A and B beside the HUF's own return; Meera's row shows C's; property tax is split in the same proportion; and the two rows add up to the property total.
When shop B is later re-let under a lease that Meera signs in her own name, she sets Rent received by on that one lease to Meera Iyer; the unit default stays with the HUF for the next tenant.
