Add and onboard a tenant
Create a tenant, assign them to units and set their rent, deposit and taxes in one guided flow on the Lease Dashboard.
Overview
You onboard a tenant on the Lease Dashboard (Master Data → Lease Management → Lease Dashboard). One window, Add Tenant, walks you through five tabs in order:
- Tenant Info: who the tenant is and how to reach them.
- Property Assignment: which units they occupy. This step creates the lease.
- Lease Info: rent, deposit, term, taxes and escalation.
- GST & Tax: who receives invoices and how they are delivered.
- Documents: the lease agreement, KYC papers and other files.
You can move between tabs with Back and Next without losing what you've typed.
Before you start
- You need to be a landlord or master admin.
- The property, its floors and units must already exist, and the units must be vacant and marked as leasable. See Buildings, floors and units.
- Have the tenant's name, business email, GSTIN (for GST invoicing) and the signed lease to hand.
Steps
- On the Lease Dashboard, click Add Tenant.
- On Tenant Info, enter the Tenant Name \* (a person or a company). Add the Office Address, a Contact Person, and the GSTIN, PAN and Aadhaar under Tax & Legal.
- Under Billing & Status, choose Rent Payment Terms: In Advance or In Arrears. Leave Status as Active.
- Under Communication Preferences, enter the Business Email. This is where GST invoices and notices go. Add a WhatsApp Number, a Preferred Channel, and any Additional invoice recipients (comma-separated).
- Click Add Tenant. The tenant is saved and you move straight to Property Assignment.
- Choose the Property, then tick the units. You can tick a floor's box to select every free unit on that floor.
- Check Lease Start and Lease End. They are pre-filled with today + 30 days and one year after that, so change them to the agreed dates.
- Optionally upload the Lease document here.
- Click Assign Unit (or Assign N Units) and confirm. One lease is created for all the units you ticked.
- You land on Lease Info → Rent & Deposit. Enter the rent, deposit and other terms, then click Save Lease. See Create a lease.
Example
Bluebird Cafe is leasing a ground-floor unit at Sunrise Towers. You add the tenant with its GSTIN (in the format 22AAAAA0000A1Z5) and choose In Advance. You assign unit G-02 from 1 April, then enter Account Rent ₹45,000, Cash Rent ₹5,000 and a deposit of ₹3,00,000. Bluebird Cafe now appears under Sunrise Towers on the Lease Dashboard.
FAQs
Is the Business Email required?
No, but without it GST invoices and lease notices cannot be emailed to the tenant. Several tenancies of the same company can share one address.
What does "Test" status mean?
A Test tenant is a sample record. It can be permanently deleted along with its units, leases and invoices. Use Active for real tenants.
The tenant already rents another unit in this property. Do I create a new lease?
Usually not. Property Assignment offers Add to this lease (recommended), so the extra unit shares the existing rent and deposit. See Leases covering several units.
Troubleshooting
Property Assignment says "Save the tenant first"
Click Add Tenant on the Tenant Info tab first, then return to Property Assignment.
My property isn't in the Property list
Only properties with at least one vacant, leasable unit are listed.
A warning says a tenant already exists under this registration
The GSTIN matches an existing tenant. See Tenant KYC and GSTIN.
