Tenant KYC and GSTIN

Record a tenant's GSTIN, PAN, Aadhaar and contact person, file their KYC documents, and avoid duplicate tenant records.

Overview

Tenant Info (under Master Data) is the register of tenant profiles. It holds the business identity (name, GSTIN, PAN, address) and the authorised contact person, kept apart from lease terms. Leases, units and rent are managed on the Lease Dashboard.

The GSTIN matters most. Property360 will not raise a GST invoice for a tenant with no GSTIN, or with one that isn't valid, because GST invoices are reported with the tenant's GSTIN.

Before you start

  • You need to be a landlord or master admin.
  • A valid GSTIN is 15 characters: a 2-digit state code, the 10-character PAN, then 3 more characters, for example 22AAAAA0000A1Z5.

Steps

  1. Open Master Data → Tenant Info. The tiles show Total Tenants, Active, Leased and Unassigned.
  2. Click Add Tenant, or open a row's ⋮ menu and choose Edit Tenant.
  3. Under Tenant / Business, fill in Tenant / Business Name \, Business Email, Business Phone, GST Number, PAN (Business)* and, for a proprietor, Aadhaar (if proprietor). Then add the Registered / Office Address.
  4. Under Authorized Contact Person, record the signatory: First Name, Last Name, Designation, Mobile, Email, PAN (Personal), Aadhaar (Personal) and Contact Person Address.
  5. Set the Emergency Contact, Rent Payment Terms and Status.
  6. Click Create Tenant or Save Changes.
  7. To file KYC papers, open the tenant on the Lease Dashboard (row menu Open in Lease Dashboard), go to the Documents tab and add the file. You can preview documents there.
Tip:Hover over a GSTIN badge anywhere in the app to see what it means: the state (from the first two digits) and the PAN inside it. If the number is not a valid GSTIN, the badge says so.

Duplicate GSTIN warning

When you type a GSTIN on the Lease Dashboard's Tenant Info tab, Property360 checks for tenants already registered under it. If it finds any, it lists them with their properties and units, and you can choose:

  • Open this tenant to work on the existing record
  • Copy details, keep separate to copy the business details into a new record (useful when one company holds a separate tenancy per property)
  • Dismiss — this is a different tenant

The warning never blocks you. Separate records per property are allowed.

Example

Acme Retail Pvt Ltd rents at both Sunrise Towers and Lakeview Plaza, and each store is billed separately. You create the second tenancy and type the same GSTIN. Property360 shows the existing Acme record, so you click Copy details, keep separate. The name, billing email, PAN and office address are copied, and you go on to assign the Lakeview Plaza units.

FAQs

Where do I edit the GSTIN?

In Tenant Info, or on the Lease Dashboard under Tenant Info → Tax & Legal. The GST & Tax tab shows the GSTIN for reference only.

Why keep a contact person's PAN separately?

The business PAN identifies the leasing entity. The contact person's PAN and Aadhaar are their personal KYC as signatory.

Can I search by GSTIN or PAN?

Yes. The search box in Tenant Info matches name, phone, PAN and GST.

Troubleshooting

GST invoice fails with "Tenant has no GSTIN"

Add the tenant's GSTIN in Tenant Info, then generate the invoice again.

GST invoice fails with "is not a valid GSTIN"

Check the number for typos. It must be 15 characters in the standard format. Correct it in Tenant Info.

I can't add documents in Tenant Info

Documents are filed on the Lease Dashboard's Documents tab. Save the tenant first.
