What tenants see in Property360
Understand which emails and messages your tenants receive from Property360, and what a tenant can see if they sign in.
Overview
Property360 is built for landlords and their teams. Tenants mostly experience it through what it sends them: GST invoices and lease notices by email, plus WhatsApp messages if you turn them on. A tenant who has a sign-in sees only a small, limited menu. They never see your Rent Summary, Rent Ledger, other tenants or your owners' shares.
This article helps landlords explain to a tenant what to expect. Tenants can read it too.
What tenants receive
| Message | When | Who receives it |
|---|---|---|
| GST invoice email | When an invoice is sent, manually or in the monthly run | The tenant's Business Email and any Additional invoice recipients. The property's owners and their CA are copied, and the tenant can see them. |
| Lease renewal notice | A set number of days before the lease term ends (7 by default) | The tenant, with the landlords copied |
| Rent escalation notice | A set number of days before the revised rent takes effect (7 by default) | The tenant, with the landlords copied |
| WhatsApp messages | Only when enabled for the tenant and switched on for your organisation | The tenant's WhatsApp Number |
A renewal and an escalation that fall on the same date arrive as one email. The notice includes Lease Details (tenant, property, floor/unit and terms) and Rent Details, which show gross rent, TDS and net rent before and after the change. It covers only the rent billed through the bank.
A tenant who occupies several properties can get one combined invoice email or a separate email per property. Set this under Communication Preferences.
What a signed-in tenant sees
A tenant's menu shows only:
- Dashboard: the landing page after sign-in
- Maintenance: click Raise Ticket and choose the Unit, Category, Priority and Description of the problem
- Prompt Guide: tips for asking the AI assistant questions
Landlord pages such as Rent Summary, Lease Dashboard, GST Invoices and Tenant Info are not available to tenants.
Steps
To make sure a tenant gets everything they should:
- Open Lease Dashboard, find the tenant and open Edit Tenant & Lease.
- On Tenant Info → Communication Preferences, check the Business Email, WhatsApp Number and Preferred Channel.
- Add accounts staff under Additional invoice recipients.
- If you want WhatsApp messages, tick Enable WhatsApp notifications for this tenant.
- On the GST & Tax tab, review Where these invoices are sent to see exactly who receives them.
- Click Save Changes.
Example
Acme Retail Pvt Ltd asks why their finance team didn't get the April invoice. You open the tenant, add the finance team's email address under Additional invoice recipients, and check Where these invoices are sent. The next invoice reaches both addresses.
FAQs
How does a tenant sign in?
A master admin can create a user with the Tenant role. The tenant then uses Forgot password? on the sign-in page to set their password.
Does the notice show the cash part of the rent?
No. Notices show only the rent billed through the bank, with its TDS and net figures.
Can a tenant see rent or invoice figures for other tenants?
No. The rent, invoice and tenant pages are not on a tenant's menu.
Troubleshooting
The tenant didn't get a renewal notice
Check that the tenant has a valid Business Email. Without one, the notice can't be sent, and the landlords get an Action needed reminder instead. See Lease reminders and the Lease Tracker.
WhatsApp messages aren't arriving
Check that Enable WhatsApp notifications for this tenant is ticked and that WhatsApp is switched on for your organisation.
