Rent manager
A rent manager app for rent collection and rent tracking
Who has paid this month, who has paid part, and whose rent changes next — Property360’s rent manager answers those from the lease itself, with every instalment, waiver and advance recorded against the month it belongs to.
Three questions a rent manager must answer
- Who has paid this month? The Rent Ledger has one row per lease per month with its status, and the dashboard shows collections and dues across your properties.
- How much is still outstanding, and since when? Every row carries its own payments and waivers, so the balance is exact rather than a guess at what the last transfer covered.
- What changes next? The Lease Tracker lists every renewal and rent escalation coming up or overdue, so the next rent figure is never a surprise.
Rent tracking that follows the lease
- The amount due comes from the lease
- Rent rows are generated each month from the active leases, so the amount already reflects escalations, rent schedules and rent-free months. A month before an escalation bills the old rent; you never retype a figure.
- Advance or arrears, per tenant
- Some tenants pay for the current month, others for the month just gone. Each tenant’s payment terms decide which month a payment counts towards, so recording a batch of payments never double-counts.
- Gross, TDS and net kept apart
- Where a tenant deducts TDS, what was owed, what was deducted and what reached your account are three separate figures, so a short payment caused by TDS is not mistaken for arrears.
- Each owner’s share
- On a co-owned property, rent expected, received and outstanding is split on ownership percentages, and the landlord rent statement shows each owner’s share month by month.
Every month has a status
- Pending
Nothing received yet for the month.
- Partial
Part of the rent is settled by payments, waivers or credit.
- Paid
Fully settled.
- Overdue
The due date has passed with rent still outstanding.
- Rent-free
The month falls inside a rent-free period agreed on the lease.
Rent collection, recorded properly
Tenants pay you directly — bank transfer, UPI, cheque or cash. Against the month’s row you record each instalment with its date, mode, bank account and reference, and any waiver or deduction with its reason (a meter replacement, a water-line repair). Each entry can be edited or removed on its own, and the balance updates at once.
If a tenant pays more than the month’s rent, the extra becomes an advance that clears the lease’s oldest unpaid months first. Instead of typing payments in, you can import a bank statement and match its credits to the rent they belong to; confirmed matches teach it to recognise the same tenant next time.
Each month the rent is also raised as an invoice from the lease and emailed to the tenant as a PDF, with the owners and their accountant copied — so the bill, the payment and the balance all point at the same month.
A worked example
A café rents a shop at ₹60,000 a month and deducts 10% TDS, so ₹54,000 is due to the landlord for July. It pays ₹30,000 on 5 July and ₹19,000 on 20 July, and the landlord waives ₹5,000 for a water-line repair. The July row shows two payments totalling ₹49,000, one waiver of ₹5,000 and a balance of ₹0 — status Paid — with the ₹6,000 TDS kept as its own figure. (Invented figures.)
Notices before the rent changes
A set number of days before a lease term ends or its rent escalates — seven by default, configurable separately for each — the tenant receives a notice by email with the landlords copied, showing gross rent, TDS and net rent before and after the change. A renewal and an escalation on the same date arrive as one email.
Frequently asked questions
What does a rent manager app do?
It keeps track of the rent each tenant owes, what they have paid and what is still outstanding, month by month. In Property360 the monthly rent rows come from the lease, so the amount due already reflects escalations and rent-free periods.
Can I record part payments?
Yes. Each month’s rent row takes any number of payments, each with its amount, date, mode (bank transfer, UPI, cheque or cash), bank account and reference, plus separate waivers or deductions with a reason. The row shows Partial until it is settled.
What happens when a tenant pays more than the month’s rent?
The extra becomes an advance on that lease and clears its oldest unpaid months first. Those months show the credit, so a later payment is never mistaken for a waiver.
Does Property360 send reminders?
Yes. A set number of days before a lease term ends or its rent escalates (seven by default), the tenant gets a notice by email with the landlords copied, and the Lease Tracker lists every renewal and escalation coming up or overdue. Rent rows past their due date show as Overdue.
Does it take payments from tenants?
No — there is no payment gateway. Tenants pay you directly as they do today, and Property360 records the money. You can also import a bank statement and match its credits to the rent they belong to.
Can co-owners see their own share of the rent?
Yes. Rent is split on each owner’s ownership percentage, so each owner sees their expected, received and outstanding amounts, and the landlord rent statement breaks their share out month by month.
