TDS on rent
Set the TDS rate on a lease, see how it is deducted on invoices and in the ledger, and track TDS by tenant, property, month and quarter.
Overview
Many tenants deduct TDS (Tax Deducted at Source) from the rent they pay and deposit it with the government on the landlord's behalf. Property360 records a TDS rate on each lease and uses it in four places:
- Rent Summary shows TDS as a deduction from the bank rent.
- GST invoices of type GST Invoice (rent + GST − TDS) deduct it to reach the amount payable.
- Rent Ledger shows dues and receipts net of TDS, because that is what actually reaches you.
- The TDS Report totals it by tenant, property, month and quarter.
TDS is worked out on the bank (account) rent only, never on cash rent.
Before you start
- You need edit rights on the lease: an owning landlord or a master admin.
- Check the rate agreed with the tenant. TDS is never filled in automatically.
Steps
Set the rate
- Open Master Data → Lease Management → Lease Dashboard and choose Edit from the tenant's ⋮ menu.
- Go to Lease Info → Tax & Escalation.
- Under Taxes (GST & TDS), enter TDS % and save.
- You can also set it from Rent Management → Rent Summary: choose Edit Tenant from the row's ⋮ menu and fill in TDS %.
- The tenant's GST & Tax tab lists the GST % and TDS % of every lease the tenant holds.
Review TDS
- Open Reports & Analytics and choose TDS Report under Tax & Statutory.
- The tiles show Monthly TDS, Annual TDS (run-rate) (monthly × 12), Tenant Leases and Properties.
- Use the Monthly TDS chart and the Quarterly Summary (Indian financial year quarters) when planning quarterly reconciliation.
- TDS by Tenant lists each lease's rate and monthly TDS. TDS by Property totals them for each property.
- Click Export to download all the tables as a CSV.
Example
Acme Retail Pvt Ltd pays ₹1,00,000 a month at Sunrise Towers: ₹80,000 by bank and ₹20,000 in cash, with 10% TDS and 18% GST.
| Item | Amount |
|---|---|
| TDS (10% of ₹80,000) | ₹8,000 a month |
| Net Bank Deposit Rent | ₹80,000 + ₹14,400 − ₹8,000 = ₹86,400 |
| Quarterly TDS in the report | ₹24,000 |
If A. Sharma owns 60%, A. Sharma's invoice deducts ₹4,800 and R. Iyer's (40%) deducts ₹3,200.
FAQs
Does a Rent Invoice deduct TDS?
No. TDS is deducted only on the GST Invoice type. A Rent Invoice (rent only) bills the rent alone.
Is TDS prorated on a part-month invoice?
Yes. Rent, GST and TDS are all prorated by days billed ÷ days in the month.
Can I file TDS returns or download certificates here?
No. The TDS Report is a planning and reconciliation aid. It works out TDS from active leases at their set rates. For statutory purposes, reconcile it against your issued invoices and the tenant's TDS records.
Is TDS split between co-owners?
Yes. Each owner's invoice deducts TDS on that owner's share, and Split by owner in the Rent Summary shows each owner's TDS.
Troubleshooting
A tenant is missing from the TDS Report
Their lease has no TDS %, no bank rent, or isn't active. Set the rate under Tax & Escalation.
The ledger's Expected figure is lower than the rent
That's expected. The Rent Ledger shows figures net of TDS.
