Digitally signed invoices

Upload your Digital Signature Certificate once so every invoice you own is signed automatically, in a form banks and tenants accept.

Overview

Some banks and tenants need invoices that carry a legally valid digital signature under the IT Act, 2000. Property360 can sign invoices with your own Digital Signature Certificate (DSC). Upload it once, and every invoice you own is signed automatically when it is generated.

  • Signing is per owner. On a co-owned property, each owner's invoice is signed with that owner's own certificate.
  • A signed invoice shows "Digitally signed by …" and an IT Act footer.
  • A signed invoice is frozen. The PDF never changes after signing, because any change would break the signature.

Before you start

  • You need an exportable soft certificate: a .pfx or .p12 file plus its password. These are issued by CCA-licensed Certifying Authorities. Ask for a Class 3 signature, Document Signer or soft (PFX) certificate.
  • A certificate held only on a USB token can't be used, because its key can't be exported.
  • Landlords manage their own certificate. A master admin can manage any landlord's.

Steps

  1. Open Administration → Digital Signature.
  2. Master admins only: choose the landlord under Managing signature for. The Configured count shows how many landlords have a certificate.
  3. Click Upload Certificate.
  4. Choose the Certificate file (.pfx / .p12) and enter the Certificate password. You can also add a Label and a Signing location.
  5. Click Save Certificate. The password is checked straight away and stored encrypted.
  6. Check the details shown: Signer, Issuing CA, Serial, Valid from and Valid until.
  7. Make sure Auto-sign my invoices is ticked. Untick it to pause signing.
  8. To sign an invoice created before you uploaded the certificate, open GST Dashboard → GST Invoices and choose Sign (DSC) from that invoice's ⋮ menu.
Tip:Not sure if you already have a certificate? Open How to get your certificate as a .pfx file on the same page. It shows how to check what is installed on a Windows PC and whether the key can be exported.

Example

Sunrise Towers is owned by A. Sharma (60%) and R. Iyer (40%). A. Sharma uploads a certificate and R. Iyer does not. When October's invoices for Acme Retail Pvt Ltd are generated, A. Sharma's invoice is signed and R. Iyer's is not. Once R. Iyer uploads a certificate, they can choose Sign (DSC) on their October invoice to sign it.

FAQs

Is my private key safe?

It is stored encrypted, together with its password. The page only ever shows the certificate's public details: signer, issuer and validity.

Can I edit a signed invoice?

No. Edit is not offered for signed invoices, and the same signed PDF is always served.

What happens when my certificate expires?

A warning appears as the expiry date gets close. Once it has expired, new invoices are no longer signed. Click Replace to upload the renewed certificate.

If I remove my certificate, do old invoices lose their signature?

No. Invoices already signed keep their signature. Only new invoices stop being signed.

Troubleshooting

"Enter the certificate password" or the upload is rejected

Check that you chose the .pfx or .p12 file and typed the password set when it was exported.

The Export option for the private key is greyed out

The certificate can't be exported, which is common for token-only certificates. Ask your Certifying Authority for a soft (PFX) Document Signer certificate.

Sign (DSC) is missing from the menu

The invoice is already signed, or you don't have permission to manage invoices.
