Bank rent, cash rent, TDS and GST

Understand how a lease's rent splits into bank and cash parts, and why GST and TDS apply to the bank part only.

Overview

Many Indian leases are paid partly by bank transfer and partly in cash. Property360 records the two parts separately on each lease:

  • Bank Deposit Rent is the part paid into a bank account. On the lease editor it is labelled Account Rent.
  • Cash Deposit Rent is the part paid in cash. On the lease editor it is labelled Cash Rent.

The total rent is the sum of the two. GST and TDS are worked out on the bank part only, because that is the part shown on GST invoices and the part a tenant deducts tax from.

Net Bank Deposit Rent is what should arrive in the bank: the bank rent, plus the GST the tenant pays on top, minus the TDS the tenant deducts.

Before you start

You need permission to edit the lease: an owning landlord or a master admin.

Steps

  1. Open Master Data → Lease Management → Lease Dashboard, find the tenant and choose Edit from the row's ⋮ menu.
  2. Go to the Lease Info tab, then Rent & Deposit.
  3. Enter Account Rent and Cash Rent. Monthly Rent (auto) fills in as their sum.
  4. Under Rent Deposit Accounts, choose which bank account each owner wants this lease's rent paid into.
  5. Open Tax & Escalation and set GST % and TDS % under Taxes (GST & TDS).
  6. Save, then check the figures in Rent Management → Rent Summary.
Tip:When a tenant has a GSTIN, the GST rate from the owner's tax settings is applied to their leases automatically. A rate you type in yourself is never overwritten.

Example

Bluebird Cafe pays ₹50,000 a month at Lakeview Plaza: ₹40,000 by bank and ₹10,000 in cash, with 18% GST and 10% TDS.

FigureAmount
Total Monthly Rent₹50,000
GST (18% × ₹40,000)+ ₹7,200
TDS (10% × ₹40,000)− ₹4,000
Net Bank Deposit Rent₹43,200

The ₹10,000 cash is not on the GST invoice and has no tax deducted from it.

Where the split is used

  • Rent Summary shows all six figures for each tenant, property and owner.
  • GST invoices bill the bank rent, add GST and deduct TDS.
  • The Rental Deposits by Bank Account report (under Reports & Analytics) shows bank rent for each landlord and bank account. Switch between Actuals (rent recorded as deposited) and Committed (agreed bank rent × each owner's share).
  • Misc. Due Reconciliation can turn one landlord's agreed cash share into a monthly due, when another landlord collects it for them.

FAQs

What if a lease has only one rent figure?

Older leases without a split are treated as all bank rent.

Is GST charged on cash rent?

No. Property360 applies GST and TDS to the bank part only.

Why do the Rent Ledger amounts differ from the Rent Summary?

The Rent Ledger shows amounts net of TDS, because that is what you expect to receive. The Rent Summary shows the gross figures and the TDS separately.

Troubleshooting

Net Bank Deposit Rent equals Bank Deposit Rent

Both GST % and TDS % are blank or zero on the lease. Set them under Tax & Escalation.

The deposits report shows "Not assigned"

No rent deposit account has been chosen for that lease. Set one under Rent & Deposit → Rent Deposit Accounts.
