Leases covering several units

Lease several units, even across floors, to one tenant under a single agreement with one rent and deposit, and optionally split the rent by unit.

Overview

A tenant often occupies more than one unit, for example a showroom on the ground floor and an office on the first. In Property360, one lease can cover many units of the same property, across floors. The rent, deposit, term and escalation belong to the lease and are entered once. They are never repeated per unit.

The units on a lease are listed under Leased Units on Lease Info. From there you can add units, release one, choose the primary unit, and split the rent across units.

Before you start

  • All the units must be in the same property.
  • To add units, they must be vacant and leasable.

Steps

Create one lease for several units

  1. On Lease Dashboard, open the tenant and go to Property Assignment.
  2. Choose the Property and tick each unit. Tick a floor's box to select every free unit on it.
  3. Set the dates and click Assign N Units. One lease is created for all of them.

Add units to an existing lease

  1. On Property Assignment, choose the property the tenant already leases in.
  2. Choose Add to this lease (recommended), tick the units, set Occupied From, and assign.
  3. You can also open Lease Info → Leased Units, click Add units, pick the units and click Add.

Split the rent by unit (optional)

  1. In Leased Units, click Split rent by unit.
  2. Enter a monthly amount for each unit, or click Split evenly.
  3. When the total matches the lease rent exactly, you'll see Reconciles to the lease rent. Click Save split.
  4. To go back to one rent for the whole lease, click Clear split.

Release one unit

Click Release on the unit and pick the date. That unit becomes vacant, and the lease, rent and deposit carry on for the other units.

How rent is shown per unit

SituationEach unit's share
A rent split is savedThe amount you set for that unit
No split, all unit areas recordedPro-rata by unit area
No split, some areas missingAn equal share

Rent per sq.ft is the lease rent divided by the lease's leased area, so every unit on the lease shows the same rate.

Important:On a multi-unit lease, Manage Unit shows the rent as read-only (Monthly Rent (₹) — whole lease). Change it on the Lease Dashboard.

Example

Bluebird Cafe leases units G-01 and G-02 at Sunrise Towers for ₹80,000 a month. G-01 is 600 sq.ft and G-02 is 400 sq.ft. With no split, Property Details shows G-01 at ₹48,000 and G-02 at ₹32,000 (pro-rata by area). You then save a split of ₹50,000 and ₹30,000. Each GST invoice now shows one line per unit.

FAQs

How do GST invoices look for a multi-unit lease?

Without a split, the invoice has a single line naming every unit. With a split, it has one line per unit.

What is the primary unit?

It is the lease's address on documents. Use Make primary to change it.

When should I create a separate lease instead?

Only when the units are under a genuinely different agreement, with their own rent, dates and terms. Choose Create a separate lease on Property Assignment.

Troubleshooting

Save split is greyed out

Every unit needs an amount, and the total must equal the lease rent exactly. The message shows how far over or short you are.

Release isn't shown

A lease must keep at least one unit. To give back the last unit, end the lease. See Ending a lease and refunding the deposit.
