Lease renewals and extensions

Extend a lease's term from the Lease Tracker or the Lease Dashboard, optionally apply the escalation at the same time, and undo a mistake.

Updated 16 Oct 2026

Overview

When a lease term is ending and the tenant is staying, record the renewal as an extension. Property360 moves the lease's end date forward and keeps the original term for reference. Each extension is logged with its previous end date, new end date, number of months, reason and who recorded it.

In most agreements the rent rises when the term is renewed. That's why Property360 offers to apply the escalation in the same step.

Before you start

  • The lease must be Active (or Renewed).
  • Agree the new end date with the tenant, and confirm whether the escalation applies.

Steps

From Lease Tracker & Alerts (quickest)

  1. Open Master Data → Lease Management → Lease Tracker & Alerts.
  2. Find the row with Renewal (or Renewal + Escalation) in the Action column. The Overdue and Next 30 days tiles filter the list.
  3. Open the row's ⋮ menu and choose Extend / renew lease…, or open the row and click Extend / renew.
  4. Set the New end date. The +6 mo, +11 mo, +12 mo, +24 mo and +36 mo buttons count from the current end date.
  5. Add a Note and click Extend lease. Any reminder for that date closes automatically.
  6. If an escalation is also due on that date, click Apply escalation on the same row. See Rent escalations.

From the Lease Dashboard

  1. Open the tenant in Lease Dashboard and go to Lease Info.
  2. Click Extend Lease. The History sub-tab opens with the Extend Lease Term form.
  3. Check the New End Date (pre-filled as the current end plus the escalation interval) and the Effective Date (the day after the current end). Then choose a Reason, such as Mutual Agreement or Holdover / Continuation.
  4. Click Extend. If the lease has an escalation %, you'll be asked to confirm:
    • Extend + Escalate extends the term and raises the rent by the lease's escalation %, effective the day after the old end date.
    • Extend only changes just the end date.
Tip:Made a mistake? In History, the most recent extension has an undo button. Because an extension and its escalation usually go together, you can undo Extension only or Undo both.

Example

Bluebird Cafe's lease at Sunrise Towers ends on 31 March 2027, and the tenant renews for a year with a 5% increase. On the Lease Dashboard you click Extend Lease. The New End Date is already 31 March 2028, so you click Extend, then Extend + Escalate. The rent goes from ₹50,000 to ₹52,500 from 1 April 2027. The original term (2026–2027) stays on record.

FAQs

What's the difference between renewal and extension here?

The app records a renewal as an extension of the same lease. The original start and end dates are kept, and the lease history shows every extension.

What if the new agreement has completely different terms?

Extend the term, then update the rent, deposit and other terms on Lease Info and click Save Lease. Each change is recorded in the history.

What does "Holdover" mean on reports?

A lease that is still active after its end date. A renewal is due: extend the term and apply the escalation.

Troubleshooting

"The new end date must be after the current end date"

Choose a date later than the lease's current end date.

The Extend Lease button is missing

It is shown only for Active or Renewed leases. A terminated lease must be reactivated first.

The tracker still shows the renewal after I extended

Click Refresh. The row clears once the lease's end date is past the due date.
