Filings & Records

Keep every taxpayer profile's (an individual's or an HUF's) ITR, ITR-V, intimation, AIS, Form 26AS, challans and CA summary per assessment year — upload many at once, preview, download and compare years.

Updated 20 Oct 2026

Overview

Filings & Records is the filing cabinet behind the Income Tax Dashboard: one row per taxpayer profile (your own PAN, or an HUF's — see Taxpayer profiles and HUFs) per assessment year, holding the ITR JSON and PDF, the ITR-V acknowledgement, the intimation under section 143(1), the AIS, Form 26AS, advance and self-assessment challans and the CA summary. Each document can be previewed and downloaded. Documents fetched through Connect & Fetch appear here automatically; anything else can be uploaded or, for a CA summary, typed in.

When you upload a document, Property360 reads it with document AI, shows you the figures it found, and saves them only after you confirm. The figures then flow to the dashboard and reconciliation with the document as their source.

Before you start

  • You must be the landlord, a master admin or the landlord's named CA.
  • The profile's PAN and date of birth (for an HUF, its date of formation) must be on file if you plan to upload an AIS file (the file is password-protected with them) — in Landlord Info for your own profile, on the HUF's row under Taxpayer profiles for an HUF.
  • Pick the right Taxpayer before uploading: a document is filed under that profile, and a document whose PAN belongs to another profile is refused.
  • Download the documents from the e-Filing portal as follows:
    • ITR JSON — e-File → Income Tax Returns → View Filed Returns → Download JSON for the year. For returns filed up to AY 2020-21 the portal offers an XML instead of a JSON — upload that XML as it is; it is read exactly like the JSON (ITR-1 to ITR-4).
    • ITR-V and ITR PDF — same page, Download Receipt / Download Form.
    • AIS — Services → Annual Information Statement (AIS), choose the financial year, Download → JSON.
    • Form 26AS — e-File → Income Tax Returns → View Form 26AS, download as PDF for the financial year.
    • Intimation u/s 143(1) — the PDF emailed by the department, or Pending Actions → e-Proceedings.

Steps

Upload a document

  1. Open Operations → Income Tax → Filings & Records and choose the Taxpayer (type badge and masked PAN beside the picker; the page opens on your own individual profile).
  2. Find the assessment year row, or click Add year if it is not listed yet.
  3. Click Upload and, for a single file, choose What is it?: ITR JSON, ITR PDF, ITR-V, Intimation 143(1), AIS, Form 26AS, Challan or CA summary. Leave it on Auto to let Property360 detect the type.
  4. Drop the file or pick it. An AIS file is opened with the PAN and date of birth on the landlord's profile; if they are missing, Property360 asks for them once and does not keep the password.
  5. Review the figures found — form, acknowledgement number, filing date, house-property lines, taxes paid, refund. Correct anything the reader got wrong.
  6. Click Confirm & save. The document is stored in the vault, the figures are saved with this document as their source, and Income & Tax Reconciliation re-checks the year.

Upload several years at once

  1. On the e-Filing portal, open View Filed Returns and click Download JSON for every year you want. Download the AIS JSON for each financial year the same way.
  2. In Filings & Records, click Upload and drop all the files at once. With more than one file, the type and year are detected per file, so the What is it? and year choices are disabled.
  3. Each file is imported in turn and shows its own result: the year it was filed under, the figures read, or the error. A file that fails does not stop the others.
  4. Click Retry failed to re-run only the files that failed (for example after entering the AIS password), then Confirm & save.

How the year and acknowledgement number are found

  • The assessment year is read from the document itself — the ITR JSON, AIS and intimation all state it — so a file dropped on the wrong year's row is still filed under its own year. The year you pick is only a hint, used when the document does not say.
  • The portal names its Download JSON file by the 15-digit acknowledgement number. When the JSON does not carry the number inside, Property360 takes it from the file name, so keep the portal's file name.
  • A document whose PAN does not match the chosen profile is refused — the karta's ITR cannot be filed under the HUF, nor the HUF's under the karta.

When a year has more than one filing

A year can have an original return and later a revised or updated one. Property360 keeps the figures from the most authoritative filing, whatever order the files arrive in:

  1. an updated return u/s 139(8A),
  2. then a revised return u/s 139(5) (or one filed in response to a defective-return notice u/s 139(9)),
  3. then the original, belated or notice-driven return.

Between two filings of the same rank, the one filed later wins. The superseded filing stays in the vault and the year's record notes which acknowledgement was superseded and why, so nothing is lost and the audit trail explains the figures on the dashboard. Importing the same acknowledgement again refreshes the vault entry and the figures rather than creating a duplicate.

Enter a CA summary by hand

  1. On the year's row, click CA summary → Enter.
  2. Type the figures the CA provided: gross rent, municipal tax, interest, other income, gross total income, deductions under VI-A, total income, tax liability, taxes paid, refund.
  3. Click Save. The summary is labelled CA summary on the dashboard and compared with the filed return.

Record an outstanding demand

Open the year's Intimation and click Record demand. Enter the amount and date from the notice. The demand is shown on the dashboard until you mark it Paid or Disputed with a note.

Preview, download and compare

  • Click a document's name to preview it in the app; a JSON file is shown pretty-printed with a Copy button. Download saves the original file.
  • The year's Tax documents panel lists only this taxpayer profile's files for this assessment year. Every tax file across all years and landlords is also in the Documents vault under the Income Tax tile, where you can sort the columns, group by assessment year and see each file's AY badge.
  • The assessment year picker has an All years choice: the sources and documents of every year the profile has anything for are listed, grouped by year (newest first), each group with its open-finding count and a This year only → link. The Upload, CA summary and Record demand dialogs then start on the last completed assessment year — change it in the dialog if you mean another.
  • Year-over-year at the bottom of the page shows the merged figure of every year with data side by side by default (a green dot on a year means a filing or portal source is in, amber means only Property360 books or a document, grey means nothing yet). Click a year pill to take it out or put it back, All available to reset, Key figures / All figures to widen the rows, and Δ vs previous year to show under each number how it moved from the previous column (green = lower tax / higher refund, amber = the opposite). Clicking a year heading opens that year's records above. The Sources and Documents · findings rows at the foot tell you what each column rests on.
  • Compare years on the Dashboard does the same across several taxpayer profiles at once — one block each, never summed.
  • How the income was computed under each year is the step-by-step ladder from the gross rent on the return to the total income and the payable or refundable position, with each step's origin and a check against the return and the books; a link ending in #computation opens it. See How the income was computed.
  • Export ▾ generates the annual tax report for this profile and assessment year — or, with All years chosen, one report with a summary and sections per year — as a PDF or an Excel workbook, with Preview & choose sections… to see it first. See Income & Tax Reports.

Deductor names (who deducted the TDS)

The ITR-2 / ITR-3 JSON states only the TAN of each deductor on Schedule TDS, so a line used to read "Deductor (TAN BLRA…)". Property360 keeps a deductor directory — one name per TAN, shared by every taxpayer profile, because a TAN identifies an organisation (a tenant company, an employer, a bank), never a person — and fills the name in wherever a TDS line is listed: the TDS by deductor row under each source here, the per-property tenants in the computation flow, Income & Tax Reports rows, reconciliation findings and the assistant's replies.

Where names come from, in order of confidence:

  1. Named by hand (100) — the pencil next to a line, or Administration → Settings → Income Tax → Deductors. A typed name always wins. Landlords and master admins can name; every naming is audited (DEDUCTOR_NAMED).
  2. Portal lookup (95) — the e-Filing portal's Search TAN, when the Sandbox plan has the route (see Connect & Fetch).
  3. Portal prefill, Form 26AS, AIS (90) — these list each deductor with its name; importing or fetching one teaches the directory.
  4. Filed return (85) — an ITR-1 XML or an older schema that carries the name.
  5. Tenant record (80) — a tenant with a TAN on its record (Tenants → TAN (deducts TDS under)) names that TAN automatically.

Each name shows a small origin chip (Tenant record, Portal prefill, Named by hand …). A line whose TAN is still unknown reads Unknown deductor with its TAN — click the pencil to name it. A master admin's Relearn button (Settings → Income Tax → Deductors) rescans every stored source and tenant TAN once and reports how many TANs are named and how many remain.

Replace or delete

Uploading a new file of the same type for the same year replaces the figures but keeps the old file in the version list. Delete removes a document and the figures that came from it; the dashboard falls back to the next available source. Every upload, replacement and delete is in History & Audit.

Example

A. Sharma's CA sends her a one-page summary for AY 2026-27 before filing. She enters it under CA summary. After filing, the CA uploads the ITR JSON and the ITR-V. The dashboard switches its figures to Filed ITR and Income & Tax Reconciliation confirms the CA summary matches line for line. When the intimation arrives in August with a small demand of ₹1,250 for interest, she uploads it and records the demand, then marks it Paid after paying on the portal.

FAQs

Which document is used when several exist for a year?

The dashboard prefers the filed ITR for income and tax figures, Form 26AS for taxes paid and TDS credits, the intimation for the processed outcome and the refund status for refunds. The CA summary and manual entries are shown beside them, never instead of them. Every figure says which source it came from.

Can I upload a scanned PDF?

Yes. Document AI reads scanned pages, though the confidence is lower; always review the figures before confirming. For the ITR, the JSON is exact and preferred.

Is the ITR JSON stored?

Yes, in the document vault with the same access rules as everything else here. Only the figures needed for the dashboard are saved as data; the file is the record.

I uploaded the revised return but the dashboard still shows the original figures

Check the filing section on each document. An original return filed under 139(1) never replaces a revised 139(5) or updated 139(8A) filing, in either upload order. If both are the same kind, the one filed later wins. The year's record notes which acknowledgement is in force. If the wrong file is in force, delete it and the dashboard falls back to the other.

Can I ask the assistant for these figures?

Yes. On Telegram or WhatsApp, ask for example "What was my total income for FY 2024-25?", "Was my refund for last year issued?", "Show all HUF tax records available" or "Compare the individual's and the HUF's records". When you have both an individual profile and an HUF and do not say which, the assistant asks "your individual PAN or the HUF?" and a reply of 1 or 2 picks. The reply labels each figure with its meaning and source. See The Telegram and WhatsApp assistant.

A TDS line says "Unknown deductor" — why, and how do I fix it?

The filed return's JSON carries only the deductor's TAN. Name it with the pencil next to the line (landlord or master admin), set the TAN on the tenant's record so the tenant's name is used, import the year's prefill / Form 26AS / AIS (they carry names), or — once the Sandbox plan has the Search TAN route — use the portal lookup under Settings → Income Tax → Deductors. See Deductor names above.

How long are records kept?

Portal retrieval looks back 8 years from the end of the assessment year by default, in line with the period for which returns can be reopened; files you upload yourself — including the XML returns of older years — are kept until you delete them. A master admin can change the retention in Administration → Settings → Income Tax. Disconnect & erase on the Connect & Fetch page removes fetched data at any time.

Troubleshooting

The intimation / ITR-V PDF is password-protected

CPC sends the intimation u/s 143(1) and the ITR-V encrypted. Property360 opens them with the PAN in lower case followed by the date of birth as DDMMYYYY taken from the taxpayer profile (an AIS or 26AS PDF uses the PAN in capitals), reads the text, and keeps the original encrypted file in the vault; the password is never stored. If the date of birth is not on the profile, type the password once in the Document password box, or add the date of birth under Landlord Info → Taxpayer profiles → Edit and import again.

"Could not open the AIS file"

The password is the PAN in capitals followed by the date of birth as DDMMYYYY. Check both on the landlord's profile, or enter them when asked.

"This file is not an ITR JSON or XML"

Make sure you downloaded the JSON (or, for AY 2020-21 and earlier, the XML) from View Filed Returns, not the pre-filled data or the offline utility's draft file. An XML from another system (an invoice, a bank statement) is refused with this message too.

"This document belongs to a different PAN"

The PAN in the document does not match the chosen taxpayer profile. Check that you chose the right profile in the Taxpayer picker — an HUF's return goes under the HUF, the karta's under their individual profile.

The figures found are blank

The reader could not find the expected sections. Enter the figures by hand in the review step and confirm; the document is still stored.

One file in a batch failed

The other files are already imported. Fix the cause shown on that file's line (the AIS password, a different PAN, a draft file instead of the filed JSON) and click Retry failed; only the failed files are sent again.
