The Telegram and WhatsApp assistant

Link your account to the Property360 assistant on Telegram or WhatsApp and ask about rent, leases, invoices, tasks and documents in plain language.

Overview

The Property360 assistant lets staff use Property360 from Telegram or WhatsApp by typing ordinary sentences. Staff means landlords, master admins, supervisors and CAs. For example:

  • "rental summary for Sunrise Towers"
  • "who owes whom"
  • "overdue tasks for Lakeview Plaza"
  • "send the lease agreement for Acme Retail Pvt Ltd"

The assistant works as you. It sees and changes only what your role and property access allow in the app, and anything it changes is recorded in History & Audit under your name. It always fetches fresh figures, so a repeated question gets an up-to-date answer.

The master admin manages the assistant from Administration → AI Dashboard. It has three tabs: AI Providers, Telegram and WhatsApp.

Before you start

  • Your phone number must be on your Property360 profile. The assistant uses it to recognise you. A master admin can add it in Users.
  • Tenants don't get the assistant. Their WhatsApp messages go to the Communication Center for a person to answer.
  • The master admin must have set up the Telegram bot or WhatsApp number for your organisation.

Steps

  1. Open the Property360 bot in Telegram (your admin will share the link) and send any message.
  2. The bot replies with a Share my number button. Tap it.
  3. If the number matches the phone on your profile, you're linked straight away and see "Linked!". Type help to see what you can ask.
  4. If you change phones, send update number and share your number again. Your access doesn't change.
  1. Open Administration → AI Dashboard → Telegram.
  2. Under Link a Telegram user, enter the person's Telegram User ID. Optionally use Filter by role, then choose the App user.
  3. Click Link. Linked people are listed below, and each can be unlinked.

Use WhatsApp

  1. Make sure your phone number (or alternate number) is on your profile.
  2. Message your organisation's Property360 WhatsApp number. Staff numbers are answered by the assistant automatically.
  3. On the WhatsApp tab, the master admin can see which staff are Recognized (number on file) and which are Active (have actually messaged).
Tip:Administration → Prompt Guide has ready-made questions you can copy, grouped by topic.

Example

R. Iyer, a landlord at Lakeview Plaza, opens the bot on Telegram, taps Share my number and is linked. He asks, "cash for R. Iyer for Lakeview Plaza from April to September". The assistant replies with his monthly cash share and the total. He then sends a photo of a receipt, followed by "mark TSK-3 done". The task closes with the photo attached as completion evidence.

FAQs

Can the assistant change data?

Yes, within your permissions. For example, it can record payments, create or update tasks and generate invoices. For some actions, such as creating a task, it asks you to confirm first.

Can I send documents to it?

Landlords and admins can send files and photos. Other roles can ask questions and receive documents they are allowed to see.

Who can open the AI Dashboard?

Only the master admin. Message logs for the assistant are under History & Audit → Bot Activity, also master admin only.

Troubleshooting

"The number you shared isn't registered to an authorized Property360 account"

Your phone number isn't on your profile, or it's on a tenant account. Ask your master admin to add the number to your user in Users, then tap Share my number again.

The assistant says a landlord "isn't linked to your account"

Landlords can see only their own figures and those of related landlords, such as a spouse or HUF. Ask your master admin to add the relationship if it is missing.

WhatsApp doesn't reply

WhatsApp may be switched off for your organisation, or your number isn't on file. Ask your master admin to check the WhatsApp tab.
