Ownership and co-owners
Record who owns a property and in what percentage, so rent shares, GST invoices and reports split correctly between co-owners.
Overview
Many Indian properties are jointly held, for example by family members or business partners. In Property360 each property has one or more owners, each with an Ownership %. These shares drive a lot of the app:
- GST invoices are raised separately by each owner for their share of the rent.
- The Rent Summary "Split by owner" view and the dashboard's My Rent Share show each owner's portion.
- Property Details shows My Monthly Share next to the property's total Monthly Income.
- Shared expenses are split by these percentages in Expense Reconciliation.
Before you start
- Only landlords and master admins can change ownership.
- Each co-owner must already have a Property360 account as a Landlord (or admin). A master admin can create one in Administration → Users.
- Shares on a property can never total more than 100%.
- The person who created the property starts at 100%. To add a co-owner, first lower that share.
Steps
Change an existing owner's share
- Open the property. The Ownership card sits next to the property details.
- Click the pencil (Edit ownership) next to the owner.
- Enter the new Ownership % and the Effective From date.
- Click Save Changes.
Add a co-owner
- On the Ownership card, click Add.
- The Add Co-owner box shows how much is already allocated and how much is available, for example "60% allocated to owners · 40% available".
- In Select User, choose a landlord or admin. People who are already owners aren't listed.
- Enter the Ownership % and the Effective From date.
- Click Add Owner.
When there is more than one owner, a Total allocated line appears. It is green at exactly 100% and red otherwise.
Remove an owner
Click the bin icon (Remove owner) next to the owner and confirm.
Example
A. Sharma created Lakeview Plaza, so she holds 100%. R. Iyer owns 40% of it. She clicks the pencil next to her name and changes her share to 60%. Then she clicks Add, selects R. Iyer, enters 40 and today's date, and clicks Add Owner. Total allocated shows 100% in green. The next time GST invoices are generated, Acme Retail Pvt Ltd receives two: one from A. Sharma for 60% of the rent and one from R. Iyer for 40%.
FAQs
Does each co-owner need their own GSTIN?
Each owner invoices under their own details. Set up each landlord's GST and tax settings on their own profile.
What if a co-owner bills outside Property360?
A landlord can be excluded from Property360 invoice generation on their profile. Their share is then skipped, and other co-owners still bill normally.
What does a co-owner see?
Each owner sees the property and their own share of rent. A landlord doesn't see another owner's share breakdown unless they are an admin.
Can ownership be changed mid-year?
Yes. Use Effective From to record when the new share starts.
Troubleshooting
"Total ownership cannot exceed 100%"
Other owners already hold that share. The message tells you the most you can assign. Lower another owner's share first.
The Add Owner button is greyed out
0% is available. Edit an existing owner's share to free some up.
The person I need isn't in Select User
They must be a Landlord or admin user. Ask a master admin to create or change their account.
Total allocated shows red
Shares don't add up to 100%, so rent and invoices won't split fully. Adjust them until the total reads 100%.
