Expense and dues reconciliation

See each co-owner's fair share of shared property costs against what they actually paid, and record the settlements that square everyone up.

Updated 16 Oct 2026

Overview

Co-owners rarely pay shared costs in exact proportion to their shares. One owner pays the property tax, another pays the electricity, a third funds construction. Expense Reconciliation credits each cost to whoever paid it, splits the total by ownership %, and works out the fewest payments needed to even things out.

For each property it combines:

  • Construction expenses,
  • Property Tax payments,
  • owner-paid Electricity bills, and
  • Contributions that owners put into the shared pool.

A cost paid by an owner's spouse or HUF counts as that owner's payment. A cost paid by anyone else is left out and shown as Excluded (non-owner paid).

Before you start

  • The page is available to landlords, master admins and CAs. Recording entries needs edit rights.
  • Ownership percentages must be recorded for each property.
  • The costs themselves are entered on the Construction Expenses, Property Tax Payments and Electricity Payments pages, with who paid each one.

Steps

  1. Open Operations → Reconciliation → Expense Reconciliation.
  2. Check the tiles: Properties, Shared pool, Unsettled and Excluded (non-owner paid).
  3. Each property card has an owner table with these columns: Owner, Share %, Fair share, Paid, Settlements and Net. Net reads owed ₹… (the owner paid more than their share), owes ₹… (they paid less) or settled.
  4. Click the Pool ₹… · N postings tag to see the costs behind the pool, each tagged by category, with date, payer, detail and amount.
  5. Use the shortcut buttons (Construction Expenses, Property Tax or Electricity) to open that expense page filtered to this property. Only the categories in the pool are shown.
  6. Under Settle up, review the suggested payments. When one is made, click record to log it.
  7. To log something else, click Record. Choose the Type:
    • Settlement (one owner pays another)
    • Contribution (owner funds the pool)
    • Adjustment Then enter the Amount, Paid by / Paid to (or Owner), Date and Memo, and click Record.
  8. Click Ledger to view or delete the entries you have recorded by hand.
  9. Click the tracking badge to switch a property between ✓ Fully tracked and ⚠ Partial · external books.
Note:Use Partial · external books when some of a property's costs are kept outside Property360. The pool is still shown, but it isn't settled automatically, and it is left out of the who-owes-whom netting in Misc. Due Reconciliation.

Example

Sunrise Towers is owned 60% by A. Sharma and 40% by R. Iyer. A. Sharma paid ₹40,000 property tax and R. Iyer paid ₹60,000 for construction, so the pool is ₹1,00,000.

OwnerShare %Fair sharePaidNet
A. Sharma60%₹60,000₹40,000owes ₹20,000
R. Iyer40%₹40,000₹60,000owed ₹20,000

Settle up suggests "A. Sharma → R. Iyer ₹20,000". Once A. Sharma pays, click record. Both rows then read settled.

FAQs

How does this connect to Misc. Due Reconciliation?

For fully tracked properties, each owner's net expense position is carried into Settlements between co-owners and tagged auto. There it is netted with cash-rent and deposit dues into one balance per pair of landlords.

A payer's name is written differently from the owner's. Will it still match?

Yes. Matching ignores word order, so "Sharma A." still matches "A. Sharma".

Troubleshooting

A cost shows as excluded

It was paid by someone who isn't an owner, or an owner's spouse or HUF. Correct the payer on the expense, or record a Contribution for the owner who funded it.

The page says "Nothing to reconcile yet"

Add co-owners to the property and record shared costs with their payers.
