Import data
Bring your properties, floors, units, tenants, leases, expenses and property taxes into Property360 in bulk from Excel or CSV.
Overview
Data Import (under Documents & Data) gives you two ways to load data in bulk:
- Landlord Onboarding Workbook: one Excel file with an Instructions tab and one tab for each kind of data (Properties, Buildings, Floors & Units, Tenants & Leases, Construction Expenses and Property Taxes). Fill in the tabs you need and upload the file once. The tabs are imported in the right order automatically.
- Single CSV imports: one card per kind of data. Each card lists its columns and has its own template. There is also an Electricity template for adding or updating electricity connections on units that already exist.
Before you start
- Landlords and master admins can import.
- Dates must be in the format YYYY-MM-DD, for example 2026-04-01. Financial years look like 2026-27.
- Refer to things by name exactly as they appear in Property360: property, building, floor and unit.
- Tenants & Leases rows need the property, floor and unit to exist already, and the unit must be vacant.
Steps
- Open Documents & Data → Data Import.
- Click Download Workbook (.xlsx) and read the Instructions tab. It lists every tab's columns, a sample row and notes.
- Fill in the tabs you need. Leave any tab empty if you have nothing for it. Rows whose first cell starts with # are greyed sample rows and are ignored.
- Click Upload Filled Workbook.
- Read the Import summary: how many rows were imported and how many failed on each tab, with the reasons under Issues.
- Fix the failed rows, keep only those rows in the file, and upload it again.
To load only one kind of data, use Download Template on that card, fill in the CSV and click Import CSV.
Example
R. Iyer onboards Lakeview Plaza:
| Tab | What he enters |
|---|---|
| Properties | One row for Lakeview Plaza |
| Floors & Units | One row per unit, such as Ground floor units G and G-1, with areas and electricity details |
| Tenants & Leases | A row for Acme Retail Pvt Ltd on unit G, with start and end dates, account rent, cash rent, deposit, escalation %, GST % and TDS % |
He uploads the workbook once. The summary shows 1 property, 6 units and 4 leases imported, and 1 lease that failed: "Unit "G-3" not found on floor Ground". He corrects the unit number and uploads just that row.
FAQs
Does the import set property owners?
No. After importing properties, add owners and their ownership %. A master admin can do this in Access Assignments. See Users and access.
Can I update electricity details on existing units?
Yes, with the Electricity template. A connection is matched by its USC (or by the unit it belongs to) and updated. Only the columns you fill in are changed.
How is rent split in the tenant import?
Rent is account rent plus cash rent, and the deposit is account deposit plus cash deposit. GST and TDS apply to the account portion only.
Troubleshooting
"Floor … not found" or "Unit … not found"
Import Floors & Units first, or check the spelling. Floor numbers can be Cellar, Ground (or G), or a number.
A lease row failed even though the unit exists
The unit must be vacant, and the tenant's email and tenantName are required.
"paidByEmail … does not match any existing user"
The payer's email must belong to someone who already has a Property360 account. Leave the field blank, or add the user first.
