Legal notices
Record court, municipal, attorney, tenant and regulatory notices, track every deadline, and close each one with a written outcome.
Overview
Legal Notices (under Operations in the sidebar) is one register for every notice your properties receive: court summons, municipal or government notices, letters from an attorney, notices from a tenant, and regulatory notices. Each notice keeps its dates, people, attachments and a timeline of everything that happened, so you don't miss a response deadline.
The list puts the most urgent notices first, with overdue, due today and due this week chips.
Before you start
- Legal notices are available to landlords and master admins only. Supervisors, CAs and tenants cannot see them.
- A landlord can record a notice only against a property they currently own. A master admin can record one for any property.
- Have the notice itself ready (PDF or photo) so you can attach it.
Steps
- Open Operations → Legal Notices and click Record notice.
- Choose the Notice type: Court, GHMC / Government, Attorney / Law firm, Tenant, Regulatory or Other. Add the Case / notice number and set a Priority (Low, Normal, High, Critical).
- Enter a clear Subject, plus an optional Description and the Issuing authority / attorney.
- Pick the Property. You can also pick a Unit (optional), or leave it as the whole property, and a Tenant (optional). Choosing a unit fills in the tenant who holds it.
- Fill in the dates: Notice date, Received date (required), Response due date and Follow-up / hearing date.
- Under Assigned to, pick an app user, or type the name of an outside lawyer or contact in …or outside counsel / person.
- Drag in any Legal documents (optional) and click Record notice.
- Open the notice at any time to see its Received → Review → Response → Follow-up → Closure stepper. Use Log to timeline to add a Note, Action taken, Response sent, Hearing or Follow-up, then click Add to timeline.
- When the matter is finished, choose Close notice…, describe the outcome and confirm with Close notice.
Example
On 2 October, A. Sharma receives a municipal notice about a setback issue at Sunrise Towers. The reply is due on 16 October. She records it as GHMC / Government with priority High, attaches the scanned notice and assigns it to her lawyer by name. On 10 October she logs a Response sent entry ("Reply sent by registered post"), and the notice moves to Responded by itself. After the authority accepts the reply, she closes the notice with the outcome "Compliance accepted; matter closed."
FAQs
Which deadline does the list show?
While a response is still owed, the list shows the earlier of the response due date and the follow-up/hearing date. Once the notice is Responded, only the follow-up date counts. A closed notice has no deadline.
What does "Needs attention" show?
Notices that are overdue, due today, or due within the next seven days. You can also switch between Open, Closed and All, and filter by Type, Status, Property and Received date range.
Can I change the status without opening the notice?
Yes. Use the status dropdown in the row, or the row's ⋮ menu (Mark: …, Reopen, Close notice…).
Can I export the register?
Yes. Export downloads the current list as a CSV file.
Troubleshooting
"Record the outcome before closing"
A notice can't be closed until you write its outcome. Fill in the Outcome (required to close) box, or use Close notice… from the notice.
I can't pick a property
Landlords can file notices only against properties they currently own. If the property is missing from the list, ask your master admin to check your ownership in Access Assignments.
I deleted a notice by mistake
Deleting removes the notice and its timeline, but its attachments stay in Documents. Next time, close the notice instead so you keep the record. Only the person who recorded a notice, or a master admin, can delete it.
