Overview

Tasks keeps track of the action items across your properties, such as opening a bank account, collecting CAM or paying an electricity bill. Each task has:

  • a title, description, category, priority, start and due dates, and an optional location (property, floor or building, unit)
  • one accountable owner, any number of collaborators, and an escalation contact
  • dependencies, comments, files, completion evidence and a full activity history

Each task gets a reference such as TSK-0012. Statuses are Open → In Progress → Blocked → Completed / Cancelled.

The Task Dashboard shows tiles for Active, Overdue, Due next 7 days, Blocked, Done this month and On-time completion. It also has overdue, coming-up and blocked lists, Team workload, summaries By property and By category, a Created vs completed trend and Recent activity.

Before you start

  • Master admins see all tasks. Landlords see tasks on properties they own (or related landlords own) and tasks they are on. Supervisors see tasks on their assigned properties. CAs see only tasks they are on. Tenants don't have access to tasks.
  • The owner must be someone with access to the property.

Steps

  1. Open Task Dashboard → Tasks and click New task.
  2. Enter the Title and a Description of what "done" looks like.
  3. Set the Category, Priority (Urgent, High, Medium or Low), Start date and Due date.
  4. Optionally choose the Property, Floor / building and Unit.
  5. Choose the Owner (accountable). Add Collaborators, an escalation contact in Escalate to when overdue (by default, the task creator), and tasks it Depends on.
  6. Add Tags and Notes, then save. The people you assigned are notified straight away.
  7. Open a task to post comments, upload files or change the status: Start, Blocked, Complete or Cancel.
  8. Switch between List and Board views. On the board, drag cards between status columns.
  9. Filter with the status tabs, My tasks, property, assignee, category, priority and due date. You can also search by title, TSK number, person or tag. Click Export for a CSV file.
Important:Marking a task as blocked needs a reason ("blocked on"). Cancelling also needs a reason. A task can't be completed while a task it depends on is still open.

Reminders

Owners and collaborators get a heads-up when a task is due soon, a reminder on the due date, and repeating alerts while it is overdue. These come by email, Telegram and in-app. The escalation contact is alerted once per due date. A master admin can adjust timing and channels in the dashboard's Reminders panel, and can Run dry run to see what would be sent on a given date without sending anything.

Example

R. Iyer creates "Collect CAM arrears from Acme Retail Pvt Ltd" for Lakeview Plaza, due on 30 November. R. Iyer makes the supervisor the owner, with a dependency on "Send CAM statement". When the supervisor finishes, they click Complete, add a completion note and upload the bank receipt as evidence.
