Maintenance requests
Raise maintenance tickets for a unit, assign a vendor and move each ticket from Open to Closed.
Overview
The Maintenance page is a simple ticket board for repairs and upkeep. Each ticket is linked to a unit and has a category, a priority and a description. Tickets move through five statuses:
| Status | Meaning |
|---|---|
| Open | Raised and waiting for action |
| Assigned | A vendor has been assigned |
| In Progress | Work has started |
| Completed | Work is done |
| Closed | Checked and closed |
Tiles at the top count the tickets that are Open, Assigned, In Progress and Completed.
Before you start
- The unit must exist under a property, building and floor. See Add a property.
- To assign work, add the vendor first on the Vendors page.
- Master admins, landlords, supervisors and tenants can open the Maintenance page.
Steps
- Open Maintenance (under Miscellaneous in the sidebar).
- Click Raise Ticket.
- Choose the Unit. Units are listed as Property › Building › Floor › Unit.
- Enter a Category (for example Plumbing or Electrical) and choose the Priority: Low, Medium, High or Urgent.
- Describe the problem in Description, then click Raise Ticket.
- On an open ticket, use Assign vendor... to choose a vendor. The ticket moves to Assigned.
- Use the button on the ticket (for example → IN PROGRESS, then → COMPLETED, then → CLOSED) to move it to the next status.
- Click a status tile, or use the All statuses filter, to see only tickets in that status.
Example
A tenant at Lakeview Plaza reports a leaking tap in Unit 102. The supervisor raises a ticket: category Plumbing, priority High. The supervisor assigns the plumber listed in Vendors, and the ticket shows Assigned. When the plumber starts, the supervisor clicks → IN PROGRESS. After the repair it is marked → COMPLETED and, once checked, → CLOSED.
FAQs
Can a tenant raise a ticket?
Yes. Tenants can open the Maintenance page and raise tickets.
Can I change the vendor after assigning one?
The Assign vendor... list appears only on an open ticket that has no vendor yet. For bigger jobs that need follow-ups, comments and evidence, use Tasks.
Can a ticket go back a status?
No. The button only moves a ticket forward to the next status.
Where do I record the cost of a repair?
For construction or renovation work, record the cost as an expense in Construction expenses.
Troubleshooting
The unit I need isn't in the list
The unit hasn't been added to the property's floors yet. Add it in Property Info.
The vendor list is empty
No vendors exist yet. Add one on the Vendors page.
"Failed to raise ticket"
Check that a unit is selected and that the category and description are filled in, then try again.
