Vendors

Keep a directory of contractors, tradespeople and stores, and see how many construction expenses and maintenance tickets each one has.

Overview

The Vendors & Contractors page is your directory of the people and businesses who work on your properties: contractors, masons, plumbers, electricians, carpenters, interior designers and stores. Each vendor card shows the type, contact person, phone, email, GST number and city. It also shows how many expenses (construction expenses) and tickets (maintenance tickets) are linked to that vendor.

Vendors are used in two places:

  • Maintenance: to assign a ticket to a vendor.
  • Construction Expenses: to tag who was paid, which feeds the Top Vendors view on a project.

Before you start

  • Master admins, landlords and supervisors can see the Vendors page. Only landlords and master admins can add vendors.
  • Keep the vendor's GST and PAN numbers if you want them on file.

Steps

  1. Open Vendors (under Miscellaneous in the sidebar).
  2. Click Add Vendor.
  3. Enter the Company / Name and choose the Type: Contractor, Mason, Plumber, Electrician, Carpenter, Interior Designer, Store or Other.
  4. Add the Contact Name, Phone, Email and City.
  5. Optionally add the GST Number and PAN Number.
  6. Click Add Vendor. The new card appears in the directory, and the count at the top updates.
  7. To give a vendor work, go to Maintenance and use Assign vendor... on an open ticket. To record a payment to them, choose them in Vendor (optional) when you add a construction expense.
Tip:On a construction expense, you can also type a new vendor's name. Property360 adds it to the directory with the type Other, so you don't need to add it here first.

Example

You hire a plumbing firm for Sunrise Towers. You add it as a vendor with type Plumber, a contact name and phone number. When a tenant raises a leaking-pipe ticket, you choose the firm from Assign vendor.... Later, the vendor's card shows 1 tickets. When you pay the firm for new piping on the renovation project, the card also shows 1 expenses.

FAQs

Why does a vendor appear that I didn't add?

It was typed as a new vendor name on a construction expense. Property360 creates the vendor automatically, with the type Other.

Are vendor names matched exactly?

A name typed on a construction expense is matched to an existing vendor regardless of upper or lower case. A different spelling creates a separate vendor.

Can tenants see vendors?

No. The Vendors page is for master admins, landlords and supervisors.

Troubleshooting

"Failed to add vendor"

Check that Company / Name is filled in and that you are signed in as a landlord or master admin.

The vendor isn't in the Assign vendor list

Assignment is only offered on tickets that are Open and have no vendor yet. Check that the vendor was added.

Duplicate vendors from different spellings

Use one consistent spelling when typing vendor names on expenses.
