Not-for-lease units (parking, common areas)

Mark a cellar, parking area or common space as not for lease so it never shows as vacant or appears for tenant assignment.

Updated 16 Oct 2026

Overview

Not every unit is meant to be rented. A cellar used for parking, a lobby, a terrace or a meter room is part of the property, but it should not count as "vacant" or bring down your occupancy rate. Property360 lets you mark such a unit as not for lease.

Before you start

  • Only landlords and master admins can change a unit.
  • Use this for space nobody rents. If the unit has an active lease, it keeps showing as occupied, so end the lease first.

Steps

  1. Open the property from Master Data → Property Info.
  2. In Floors & Units, open the unit's ⋮ menu and choose Edit Unit. You can also add a new unit.
  3. On the Unit Details tab, scroll to the bottom of Identifiers & Area.
  4. Untick This unit can be leased to a tenant.
  5. Click Save.

The unit now shows a grey Not for lease chip instead of Vacant.

To make it leasable again, open the unit and tick This unit can be leased.

What changes when a unit is not for lease

WhereEffect
Property DetailsThe status chip reads Not for lease. The Total Units tile notes "N not for lease", and Occupied shows occupancy "of leasable" units.
Tenant & Lease tabThe unit can't be assigned. The tab says it is marked not for lease.
DashboardNot counted in occupancy rate or vacant units.
Occupancy and Space Availability reportsLeft out, so they never read as vacant space.
Floor area checkLeft out of the units' total area.
Property InfoThe structure summary counts leasable and not-leasable units separately.

Example

Sunrise Towers has a Cellar with one unit, "Cellar", that is used only for residents' parking. Before the change, the dashboard showed 1 vacant unit and 92% occupancy. A. Sharma unticks This unit can be leased on the cellar unit. Now Sunrise Towers shows 0 vacant units and 100% occupancy of leasable units. The cellar is still listed, with a Not for lease chip.

FAQs

Should I delete parking units instead?

No. Keep them and mark them not for lease. They stay part of the property's structure and can still hold an electricity connection, a PTIN and documents.

Can a tenant lease a parking bay separately?

Yes. Leave This unit can be leased ticked for any bay you rent out, and give it the Parking type on a mixed property.

Does this change rent or invoices?

No. It only affects whether the unit can be assigned and how vacancy is counted.

Troubleshooting

The unit still shows as Vacant

Open the unit and check that This unit can be leased is unticked, then save. Refresh the page if needed.

I can't assign a tenant to a unit

The unit is probably marked not for lease. The Tenant & Lease tab tells you to re-enable This unit can be leased on the Details tab first.

Floor area check still counts the cellar

It doesn't count units that are not for lease. Check that the change was saved.
