Overview

Two reports answer the most common rent questions:

  • Rent Roll shows every active lease on one page, with its Account Rent (paid to the bank), Cash Rent, GST, TDS, Total Rent, Net Total Rent and Sec. Deposit. Lease start and end dates are included.
  • Landlord Rent Statement shows one landlord's ownership share of rent, split into Account Rent, Cash Rent, GST, TDS and Total, month by month for any period you choose.

Both reports use the agreed rent on the lease (what the tenant has committed to pay), not payments actually received. For money actually received, use Rental Deposits by Bank Account.

Before you start

  • Rent, GST % and TDS % come from each lease, so keep leases up to date.
  • The statement uses each owner's ownership percentage on the property. Check that the owners' shares add up to 100%.

Steps

Rent Roll

  1. Open Reports & Analytics → Rent Roll.
  2. Read the tiles: Active Leases, Total Monthly Rent, Net Total Monthly Rent (including GST, less TDS) and Security Deposit Held.
  3. Narrow the list with Search tenant / unit... or the Property filter. The totals row updates to match.
  4. Click Export CSV to download exactly what is shown.

Landlord Rent Statement

  1. Open Reports & Analytics → Landlord Rent Statement.
  2. Choose the Landlord. Optionally narrow by Property (optional) and Tenant (optional). The tenant list only shows tenants of the property you picked.
  3. Set From month, From year, To month and To year. The statement refreshes on its own.
  4. Read the tiles (Account (Bank) Rent, Cash Rent, GST, TDS, Total Rent), then the Monthly summary, then one breakdown per lease showing the owner's Share, GST % and TDS %.
  5. Click Export CSV for one row per lease per month.
Note:A partial first or last month is prorated by the days occupied. It is marked, for example, prorated 17/31.

Example

A. Sharma owns 60% of Sunrise Towers. Acme Retail Pvt Ltd's lease there is ₹1,00,000 a month to the bank plus ₹20,000 in cash, with 18% GST and 10% TDS on the bank portion. For October, her statement shows:

Account RentCash RentGSTTDSTotal
₹60,000₹12,000₹10,800−₹6,000₹72,000

Total is her account rent plus cash rent. GST and TDS are shown separately.

FAQs

Which landlords can I pick?

A master admin can pick any owner of the properties they can see. A landlord can pick themselves and landlords related to them, such as a spouse or HUF.

Does the rent roll include expired leases?

No. The rent roll lists active leases only. Use the Lease Expiration Report for expired leases.

Do GST and TDS apply to cash rent?

No. GST and TDS apply only to the account (bank) portion of the rent.

Troubleshooting

"No rent for … in …"

The landlord had no share of any lease in that period, or the property/tenant filter excludes it. Widen the period or clear the filters.

The statement doesn't match the money in the bank

The statement shows agreed rent, not money received. Compare it with Rental Deposits by Bank Account set to Actuals.
